Guided Close for Microsoft Dynamics GP

TitaniumGP checks everything; you only review what doesn’t tie.

Month-end close in Microsoft Dynamics GP means proving that Payables, Receivables, Inventory, your bank accounts and every other balance sheet account agree with the general ledger, booking the same accruals every month, and finding out why when something doesn’t tie. Guided Close does the checking for you, using GP’s own reports, and turns the close into a short list of exceptions with plain advice on each. When you’re satisfied, you sign off, and the evidence is kept for your auditors.

Why Guided Close

Tick and tie shouldn’t take the week.

Reconciling Dynamics GP to the general ledger is slow, hard to explain, and has to stand up to an audit.

01

Reconciling is slow

Run reports, export to Excel, tick and tie, chase differences — every month.

02

Differences are hard to explain

A journal posted straight to the control account, an invoice posted before its receipt, an old difference nobody remembers.

03

Auditors want evidence

Who reviewed it, when, and what the numbers were at the time.

04

“Fully automatic” isn’t realistic

Every company has history and judgment calls a system can’t make. What a controller needs is for the system to do the checking and point at what needs a person.

How it works

Three steps from period end to sign-off.

Step 1

Pick the period

Guided Close opens on the last period that has ended.

Step 2

See what ties and what doesn’t

For each area it compares the subledger, using GP’s own reports, with the general ledger, rolls the difference forward from the start of the year, and lists every entry that explains it.

Step 3

Review and sign off

Accept the difference carried in from last year with a note, sign off the period, print it for the close binder. If the numbers change afterwards, Guided Close tells you.

Features

Everything checked. Only the exceptions for you.

Subledgers, inventory, bank and the balance sheet reconciled to the GL — with the reasons, the sign-off and your recurring accruals in one place.

Reconcile

Every area compared with the general ledger.

Payables and Receivables to GL

  • Accounts Payable and Accounts Receivable reconciled to their GL control accounts.
  • The subledger side comes from GP’s own Historical Aged Trial Balance — the same report your auditors print, not a number we calculated ourselves.
  • If GP’s report can’t run, Guided Close says so instead of showing a guess.
  • The GL side comes from the same figures as your Trial Balance.

Received Not Invoiced vs Accrued Purchases

  • Compares GP’s Historical Received Not Invoiced report with your Accrued Purchases account, as of any period end.
  • Finds invoices posted before their receipt. GP’s report only lists goods received and not yet invoiced. When an invoice reaches the GL first, GP’s report ignores it — Guided Close finds those purchase orders and lists them, so the account can still be reconciled.

Inventory to GL

  • Compares GP’s Historical Inventory Trial Balance with your balance-sheet inventory accounts, with the same roll-forward, reconciling entries and sign-off.
  • If GP’s inventory history is incomplete, Guided Close says so instead of showing a misleading number.
  • Companies that expense their items have nothing to reconcile, and Guided Close says that too.

Bank reconciliation status

  • One view of every checkbook: is the bank reconciliation done for the period, which statement was reconciled, and how much is still outstanding — items older than 90 days flagged.
  • Checkbook vs GL cash, with receipts not yet deposited shown as the timing difference they are.
  • Lists journal entries posted straight to the cash account, the most common reason the two drift apart.

Balance sheet reconciliation

  • Reconcile any balance sheet account — prepaids, accruals, loans, tax accounts — against your own supporting list.
  • Type the list or paste it from Excel. Next month, last month’s list is already there: update what changed and save.
  • See the period’s GL activity beside the list, and drill into any journal entry in GP.
  • Accounts already covered by another Guided Close screen are set aside, so nothing is reconciled twice.

Explain and prove

Know why it doesn’t tie — and show you checked.

Roll-forward, not a one-off comparison

  • Shows the difference carried in at the start of the fiscal year, this year’s movement, and what is unexplained — so you only investigate what’s new.
  • Works even when older GL detail has been summarized at year end.

Every reconciling entry, explained

  • Lists each entry that explains the difference — for example a journal posted straight to a control account, or a payable posted to the wrong account — with plain advice on what to do.
  • One click opens the journal entry in Dynamics GP.

Sign-off and audit trail

  • Accept the opening difference once a year, with a note: a known, owned position instead of a number nobody remembers.
  • Sign off each period. A note is required if anything is unexplained.
  • Figures stored with a sign-off are recalculated from GP at the moment you sign, not taken from the screen.
  • If anything changes afterwards, the sign-off is flagged “changed since — sign off again”.
  • Full history of who signed what and when. Nothing is ever overwritten. Print it for the binder or save as PDF.

Close faster

Accruals, the rest of the close, and speed.

Recurring accrual register

  • Keep your standing accruals in one register — rent, utilities, audit fees, interest — with accounts, amount, reversing or not, owner, how it’s estimated, and start and end.
  • Each month, see what’s due, prepared, in a GP batch and posted.
  • Prepare the entries in one click, laid out for the TGP+ Journal Entry template — paste in Excel and send to GP, so GP’s own posting, approvals and audit trail apply.
  • Warns you before preparing an accrual that is already in GP for the period.

Fits the rest of the close

  • The Controller’s Morning Card in Command Center flags a subledger that’s out of balance.
  • Works alongside Command Center’s Month-End Close checklist and My Tasks.

Fast and safe

  • Runs in seconds, also on production-sized companies.
  • Read-only toward GP: Guided Close never posts entries and never changes your GP transactions. It stores only its own sign-offs, supporting lists and accrual register.
  • Set up once per company by confirming which GL accounts are your control accounts.

Good to know

What Guided Close deliberately leaves to you and to GP.

  • It does not close periods. Closing a module stays in your month-end checklist and GP.
  • It does not post journal entries. Accruals are prepared for TGP+, and GP posts them. Any other adjustment you make in GP.
  • It does not decide why a difference exists. It shows you exactly where to look and keeps the evidence of your review.
  • Receivables: if you bill outside GP and don’t use GP Receivables, there’s nothing in GP to reconcile against. Guided Close shows it as not set up rather than a misleading comparison.
  • Single currency, single company: multicurrency checkbooks and intercompany reconciliation are not part of this version.
  • Accrual amounts are the ones you set in the register. Guided Close doesn’t estimate them for you.

Requirements

Guided Close is part of Command Center and is set up by the TitaniumGP installer in every company.

  • Microsoft Dynamics GP — tested on GP 2018.
  • Microsoft SQL Server hosting your GP databases. A SQL administrator signs in once for setup.
  • The GP modules you want to reconcile: Payables Management, Receivables Management, Purchase Order Processing (for Received Not Invoiced), Inventory Control, Bank Reconciliation. Balance sheet reconciliation needs only General Ledger.
  • TitaniumGP Command Center.
  • TGP+, the TitaniumGP Excel add-in, to send prepared accruals to GP.
FAQ

Questions controllers ask.

Does Guided Close change my GP data?

No. It reads GP data and GP’s own reports. It never posts or edits transactions. The only thing it writes is its own record of your sign-offs, supporting lists and accrual register.

Why not a fully automatic close?

Because some differences need judgment: an old conversion balance, an invoice posted early, a misposted journal. Guided Close does all the checking, so your team spends its time only on what doesn’t tie, and keeps the evidence of that review.

Are the numbers the same as GP’s reports?

Yes. The subledger side uses GP’s own Historical Aged Trial Balance and Historical Received Not Invoiced reports, and the GL side uses the same figures as your Trial Balance. The only addition is the invoiced-before-received amount, which GP’s report leaves out, and it’s shown separately so you can see it.

What does my auditor get?

A printed or PDF reconciliation per period, with who signed off, when, the figures at that moment, and any notes. For balance sheet accounts, the supporting list exactly as it was signed.

Does Guided Close book my accruals?

It prepares them. You review them, paste them into the TGP+ Journal Entry template and send them to GP, where they go through GP’s normal posting. Guided Close then shows each accrual as in a batch or posted.

Can I paste my existing reconciliation schedules?

Yes. Copy the rows from Excel (description, reference, amount) and paste them into the account’s supporting list.

How long does it take to run?

Seconds, including on large companies.

What happens if something changes after I sign off?

Guided Close notices the figures no longer match the sign-off and asks for a new one.

Do I need to install anything extra?

No. It’s part of Command Center and is set up by the same installer as the other TitaniumGP products.

Does it cost extra?

No. Guided Close is included in the TitaniumGP Suite subscription — one plan, everything included. See pricing.
